Hello Shins,
First off, take a deep breath! You’ve made it through the video submission process, and we know how much heart and hard work went into those hoops you jumped through. We can feel the nervous excitement in the air as everyone waits for word from the Council. Please know we’re working as quickly as we can to get final decisions out to you ASAP. To help ease the wait, here are a few productive ways to channel that energy and get ahead on your planning.
Tidy up your Group List and Spreadsheet
Key Dates & Action Items
Group List Deadline: Please ensure your group list is finalized by July 25th at the very latest. If you haven’t shared the form link with your team yet, now is a great time to check that off your list.
Spreadsheet Access: If you find you can’t get into your spreadsheet, just email the Council. We’ll get you sorted! Remember, only the shin can request access for others. Most of those initial info links went out around May 23rd-25th.
Managing Your Roster & Tickets
Approving Members: In the spreadsheet, please add your name or initials next to each group member. This is how you tell us you’ve approved them for a Fire Conclave ticket. To keep things accurate, anyone without your initials will be removed. You have full control here—feel free to remove folks who have dropped out without needing to ask us first.
Gift Tickets: These are special gifts, and while not every group receives them, your acceptance letter will specify your group’s count. On your form, simply change “YES” to “GIFT” in the ticket column for your chosen recipients. We trust your discretion on whether to reward those who worked the hardest or support those most in need.
A Note on Vehicle Passes (VP): Since VPs are in short supply, roughly half of your group will be eligible to purchase one.
Requests: You can request extras in the dedicated column. We’ll do our best to distribute what we have if possible, but please keep in mind our numbers are limited.
Managing Expectations: It’s best to let your group know ahead of time that not everyone will be able to get a VP. Please help us by marking only half your group for passes; otherwise, we may have to make those assignments arbitrarily.
Coordinate with your Documentarian
Check in to ensure they’ve registered for the 2026 Fire Conclave Media application here: https://profiles.burningman.org/participate/media-application-conclave/. They’ll need to specify your group name. If they are also working on other media projects at BRC, they’ll need to file a regular Media Project Proposal as well.
The deadline for Documentarian Registration is Wednesday, July 22, 2026, @ 12pm noon (PST). Be sure to give them a friendly reminder!
